Who we are

Interview Flex Inc, incorporated in Delaware, USA, operates FlexPrep from Dallas, Texas. Contact flex-support@interviewflex.ai for privacy questions and requests. This policy applies to FlexPrep, including prep.interviewflex.ai and the FlexPrep overview page.

Information and purposes

We process your email and account identifiers to authenticate you; interview settings, job descriptions, written answers, submitted audio and transcripts to provide practice and AI coaching; session history to let you revisit reports; and purchase, subscription, credit and refund records to administer billing. Support messages and technical records help us respond to requests, prevent misuse and keep the service working. Stripe processes payment details; FlexPrep does not receive your full card number.

Practice and AI

The free demo stores practice information on your device. Anyone using that browser profile may be able to see it. Cloud practice stores questions, submitted answers, transcripts and reports in your account. Practice reports are not supplied to recruiters through InterviewFlex employer evaluations. OpenAI processes interview context and submitted answers for question generation and coaching, and submitted audio for transcription. Cloud history does not retain a replayable copy of your submitted audio. FlexPrep disables stored text responses and has not enabled OpenAI API data sharing for model improvement; this does not mean providers retain no data for security or legal purposes.

Optional video and device voices

If you start a video interviewer, LiveAvatar receives question text and connection information to present an AI-generated person and voice. Your camera stays off. Provider session records can exist separately from your FlexPrep history. Deletion of tracked sessions is queued and retried if a provider is unavailable. Device voice availability and processing depend on your browser and operating system. You can use typed answers and choose whether to record or start an avatar.

Service providers

We use Vercel for hosting, Supabase for accounts and database services, Resend for email delivery, Microsoft for support email, OpenAI for AI processing, LiveAvatar for optional video interviewing, and Stripe for payments. Providers receive information needed for their role and may process it outside your country, including in the United States. Contact us for information about applicable provider arrangements and international processing. We may also disclose information to comply with law, address fraud or security incidents, or handle a business transfer subject to applicable protections.

Storage and retention

We keep cloud practice history until you delete it or close your account. Deleting a session removes its practice content from the active database. Minimal usage evidence—identifiers, timing and purchase references, without answers or recordings—remains for billing and refund review until account closure. Our retention schedule for resolved support cases is 24 months after resolution and for FlexPrep-controlled billing/refund records is five years. Disposal may be handled manually. Limited records may be retained longer where required for a legal obligation or dispute. Stripe and other providers have separate retention rules; deletion from FlexPrep does not guarantee immediate deletion from every provider or backup.

Your choices and rights

Delete sessions in History or close your cloud account from Account after subscription access has ended. Contact support for assistance, including deletion during an active subscription, access, correction, or a copy of your information. We may verify your identity. Account closure does not automatically remove local demo history. Signing out does not cancel billing. We use browser/device storage for sign-in, preferences and local practice; the current FlexPrep app does not include advertising trackers. Avoid submitting sensitive personal information or confidential employer material.

Regional information

Where applicable, we process account, practice and payment information to perform our agreement with you, maintain security and prevent misuse for our legitimate interests, and meet legal obligations. Where processing relies on consent, you may withdraw it. Depending on your location, you may have rights to access, correct, erase, restrict, object to processing, receive a portable copy, or appeal a decision. You may object to processing based on legitimate interests by contacting us. UK residents may complain to the Information Commissioner’s Office; Canadian residents may contact the Office of the Privacy Commissioner of Canada or their provincial authority. Applicable US state rights also apply. We do not discriminate for exercising protected rights.

Age, security and changes

FlexPrep is intended for adults aged 18 and over. Contact us if you believe a child has provided information. We use safeguards designed to protect data, but cannot guarantee absolute security. We will update this policy and provide additional notice when appropriate or required.
